What data we process

Through the contact form you provide:

• Name
• Email address
• Company
• The content of your message, if you write one
• The language the form was filled in, so that we reply in the right one
• The address of the page the form was sent from

We collect nothing else. We do not profile, and we make no automated decisions.

Server logs

The web server and the server receiving the form record technical logs: IP address, timestamp, browser identifier and the address requested. These are used only for security and to prevent abuse.

To prevent form abuse we store a short-lived hash of the IP address rather than the address itself. The hash expires within an hour.

Purpose and legal basis

• Replying to your contact request and continuing the conversation. Basis: legitimate interest (GDPR Art. 6(1)(f)) or steps prior to entering a contract (Art. 6(1)(b)).
• Website security and prevention of abuse. Basis: legitimate interest.

We do not send marketing messages on the basis of the form, and we do not add your details to marketing lists.

Cookies

The site sets no cookies and uses no tracking tools. This is why there is no cookie banner.

If we introduce visitor measurement later, we will update this notice before doing so.

Who the data is shared with

We do not sell or disclose data for marketing purposes. Data is processed in the following services:

• Website hosting: Hostingpalvelu.fi, Finland
• The CRM system where the enquiry is stored: [provider and location to be confirmed]
• Email, if the enquiry is confirmed by email: [provider to be confirmed]

Transfers outside the EU and EEA

Personal data is not transferred outside the EU or EEA. Fonts and other site resources are served from our own server, not from third-party delivery networks.

Retention

We keep contact details for [24 months] from the last contact, after which they are deleted. If the enquiry leads to a customer relationship, data is retained for the duration of that relationship and afterwards for the period required by accounting legislation.

How data is protected

• Connections are encrypted (HTTPS)
• Systems are accessed only with named personal credentials
• Only people who need the data for their work handle it

Your rights

You have the right to:

• Know what data we hold about you and receive a copy of it
• Have inaccurate data corrected
• Request deletion of your data
• Restrict or object to processing
• Receive your data in a portable format

Requests can be made by email to marko.ronn@relevare.fi. We respond within one month.

Right to complain

If you believe we process your data unlawfully, you may lodge a complaint with the Office of the Data Protection Ombudsman in Finland.

Changes to this notice

We update this notice if the processing changes. The date of the latest change is shown at the top of the page.
